By placing an order with Pixel Hub Electronics, you confirm that you have read, understood, and agreed to this Payment Policy.

1. About This Policy

Pixel Hub Electronics is an online-only electronics retailer based in Trinidad & Tobago. We operate exclusively through our website at pixelhub-tt.ddns.net and do not maintain a physical retail storefront. This Payment Policy sets out the rules and procedures that apply to all payments made in connection with orders placed with us.

Because we operate on a pre-payment, import-to-order basis, payment is a critical step in the order process. We begin sourcing and importing your product only after payment has been received and verified. Understanding how payment works helps ensure your order is processed smoothly and without unnecessary delay.

2. Payment Required Before Processing

2.1 Full Payment Upfront

All orders with Pixel Hub Electronics must be paid in full before we commence sourcing or importing your product. We do not offer deferred payment, credit arrangements, or instalment plans unless explicitly stated for a specific product or promotion.

This requirement reflects the nature of our business model. Each order triggers a dedicated import process that incurs real costs from the moment sourcing begins. Full payment upfront ensures that both parties are committed before those costs are incurred.

2.2 When Your Order Begins

Your order does not enter processing until we have received and confirmed your payment. Submitting an order or receiving an automated acknowledgement of your order does not constitute payment confirmation, and sourcing will not commence until payment is verified.

Once payment has been confirmed, you will receive a written order confirmation from us. This confirmation serves as the starting point of your order and contains your order reference number, which you will need for any subsequent enquiries.

Because sourcing begins only after payment is confirmed, please ensure your payment is completed promptly after placing your order. Any delay in payment may affect your estimated delivery timeline.

3. Accepted Payment Methods

3.1 Available Methods

Pixel Hub Electronics accepts payment through the methods displayed at checkout on our platform. Accepted methods may include:

  • Online payment via our secure payment gateway — processed by our third-party payment processor at the time of checkout.
  • Bank transfer — where offered, payment instructions will be provided at checkout. Bank transfers must clearly reference your order details to allow us to reconcile your payment.

The payment methods available to you may vary depending on your location and the options displayed at the time of checkout. Pixel Hub Electronics reserves the right to update, add, or remove accepted payment methods at any time without prior notice.

3.2 Currency

All transactions with Pixel Hub Electronics are conducted in Trinidad & Tobago Dollars (TTD) unless otherwise stated. Prices displayed on our platform are in TTD and are inclusive of applicable taxes where stated.

If you are paying through a foreign-currency payment method, any currency conversion, exchange rate, or foreign transaction fees are determined by your payment provider or financial institution and are entirely outside the control of Pixel Hub Electronics. We are not responsible for any exchange rate fluctuations or fees applied by your bank or card issuer.

3.3 Payment Processing Considerations

Payments made through our online gateway are processed in real time through our third-party payment processor. Processing times for bank transfers may vary depending on your financial institution. A bank transfer is not considered received until the funds have cleared into our account and been matched to your order.

Pixel Hub Electronics is not responsible for delays caused by your bank, card issuer, or payment provider. If you experience a delay in payment processing, please contact your financial institution in the first instance.

4. Payment Verification

4.1 Verification Process

All payments are subject to verification before your order enters processing. For online gateway payments, verification is typically completed in real time. For bank transfers, verification requires us to confirm that the funds have been received and correctly matched to your order, which may take additional time.

Where we are unable to verify your payment promptly — for example, because a bank transfer was not accompanied by sufficient identifying information — we will contact you to resolve the issue. Sourcing will not commence until the payment is successfully verified.

4.2 Payment Reference

When making a bank transfer, it is essential that you include your order reference number as the payment reference. Without this, we may be unable to match your transfer to your order, which will delay verification and, consequently, the start of sourcing.

Pixel Hub Electronics is not liable for delays caused by a failure to include the correct payment reference. If you have made a bank transfer without a reference, please contact us immediately so we can assist in identifying your payment.

4.3 Verification Holds

In some cases, we may place a brief hold on an order while we complete additional verification. This may occur where a payment requires manual review, where there is a discrepancy between the payment amount and the order total, or where we have been unable to contact you to confirm payment details. We will notify you if your order is subject to a verification hold and aim to resolve it as quickly as possible.

Your order reference number is included in your order confirmation. Please retain this confirmation and include your order reference in all payment-related communications.

5. Suspicious Payments and Fraud Prevention

5.1 Our Approach to Fraud Prevention

Pixel Hub Electronics takes fraud prevention seriously. We monitor transactions for indicators of fraudulent activity and reserve the right to carry out additional verification checks on any payment or order where fraud is reasonably suspected. Our goal is to protect our customers as well as the integrity of our platform.

5.2 When We May Decline or Hold a Payment

We reserve the right to decline, hold, or cancel an order where we have reasonable grounds to suspect that a payment may be fraudulent, unauthorised, or otherwise irregular. Circumstances that may give rise to such concerns include, but are not limited to:

  • A payment that does not match the billing details associated with the payment method used.
  • Multiple failed payment attempts before a successful transaction.
  • A payment originating from a location or IP address that is inconsistent with the order details provided.
  • A pattern of orders or payments that appears inconsistent with normal consumer behaviour.
  • A chargeback or dispute history associated with the payment method or customer account.
  • Any other circumstance that, in our reasonable assessment, raises a concern about the legitimacy of the transaction.

5.3 Notification and Resolution

Where we hold or decline an order on fraud prevention grounds, we will make reasonable efforts to contact you using the details associated with your order to explain our concern and give you an opportunity to provide clarification or additional verification. If we are satisfied following that process, we will proceed with your order.

Where an order is cancelled on fraud prevention grounds and payment has already been received, we will issue a refund in accordance with our Refund & Returns Policy, subject to any deductions for payment processing fees that are non-refundable and have been actually incurred.

5.4 Reporting to Authorities

Pixel Hub Electronics reserves the right to report suspected fraudulent activity to the relevant authorities in Trinidad & Tobago. This includes, but is not limited to, the use of stolen payment credentials, identity fraud, or any other conduct constituting a criminal offence under applicable law.

Placing an order using payment credentials that are not your own, or that you are not authorised to use, is a serious matter. Pixel Hub Electronics will not process or retain such payments and may report incidents to the relevant authorities.

6. Failed Payments

6.1 What Constitutes a Failed Payment

A payment is considered to have failed where the transaction is declined by your card issuer or payment provider, where the payment is not completed within a reasonable time after the order is placed, or where a bank transfer is not received within the timeframe communicated at checkout.

6.2 Effect on Your Order

Where payment fails, your order will not enter processing and sourcing will not commence. Your order will remain pending until payment is successfully completed and verified, or will be cancelled if payment is not received within a reasonable period.

If your payment has failed and you wish to proceed with your order, please attempt to complete payment again or contact us for assistance. Please note that product availability and pricing may be subject to change if a significant period has elapsed since your order was originally placed.

6.3 Payment Authorisation Issues

Payment authorisation failures are most commonly caused by issues on the customer’s side, such as insufficient funds, card limits, an expired card, or security restrictions applied by your bank. If your payment is declined, we recommend:

  • Checking with your bank or card issuer to confirm whether a restriction or limit is preventing the transaction.
  • Verifying that your card details have been entered correctly, including the card number, expiry date, and CVV.
  • Attempting the transaction using a different payment method if available.
  • Contacting our support team if you continue to experience difficulty.

Pixel Hub Electronics is not responsible for payment failures caused by your financial institution, payment provider, or the payment gateway. We are unable to override a payment decline issued by your bank or card issuer.

6.4 Pending Charges

In some cases, a failed or declined transaction may result in a temporary pending charge appearing on your bank statement. This is a standard banking process and is not a charge by Pixel Hub Electronics. Pending charges of this kind are typically released automatically by your financial institution within a few business days. Please contact your bank directly if a pending charge is not released within a reasonable time.

If you have been charged but your order has not been confirmed, please contact us immediately with your payment reference. We will investigate and respond as promptly as possible during support hours.

7. Non-Refundable Payment Processing Fees

Certain payment processing fees charged by our payment gateway or financial institutions are non-refundable once a transaction has been processed. These are fees charged by the payment processor to us and are separate from the product price.

Where a refund is issued in connection with your order — whether under our Refund & Returns Policy, Order Cancellation Policy, or otherwise — any payment processing fees that meet all of the following conditions may be deducted from your refund:

  • The fee was charged by our payment processor or financial institution in connection with your specific transaction.
  • The fee is genuinely non-refundable to Pixel Hub Electronics under the terms of our payment processor agreement.
  • The fee was actually incurred as a result of your transaction.

We will never deduct a processing fee that has not been actually incurred, and we will never fabricate or inflate such deductions. Where a processing fee deduction applies, we will communicate the amount clearly and in writing before processing your refund, giving you the opportunity to raise any concern before the refund is finalised.

In most cases, standard refunds are processed in full. Processing fee deductions, where applicable, are the exception rather than the rule and will always be handled transparently.

8. Chargebacks and Payment Disputes

8.1 What Is a Chargeback

A chargeback occurs when a customer instructs their card issuer or payment provider to reverse a transaction. Chargebacks are a consumer protection mechanism intended for cases of genuine fraud or where a merchant has failed to deliver what was agreed.

8.2 Our Position

We ask that customers contact us directly before initiating a chargeback. In most cases, concerns about an order — including non-delivery, product issues, or refund requests — can be resolved more quickly through our support team than through a formal chargeback process.

8.3 Cooperation with Chargeback Investigations

Where a chargeback is initiated, Pixel Hub Electronics will cooperate fully with any investigation conducted by your payment provider or card issuer. We will provide all relevant documentation, including order confirmation records, payment receipts, shipping information, and communication records, to support a fair and accurate outcome.

Where a chargeback is found to be unwarranted — for example, where the customer received their order as described and no legitimate dispute exists — we reserve the right to take appropriate steps to recover any amounts improperly reversed, including disputing the chargeback through our payment processor.

8.4 Fraudulent Chargebacks

Filing a chargeback in circumstances where the order was received as described, or where a resolution has already been agreed with Pixel Hub Electronics, may constitute payment fraud under applicable law in Trinidad & Tobago. We take fraudulent chargebacks seriously and may report such incidents to the relevant authorities.

Before initiating a chargeback, please contact us. We will always work with you in good faith to resolve a legitimate concern, and direct resolution is almost always faster than a formal dispute process.

9. Relationship to Other Policies

This Payment Policy forms part of the overall framework governing your use of Pixel Hub Electronics and all transactions with us. It operates alongside the following policies, all of which you agree to when placing an order:

  • Terms & Conditions — the overarching framework governing your use of our platform and all transactions with Pixel Hub Electronics.
  • Refund & Returns Policy — governs claims for products that arrived damaged, defective, or incorrect, and sets out the process for refunds. Payment processing fee deductions referenced in this Policy are applied consistently with that Policy.
  • Order Cancellation Policy — governs your rights to cancel an order depending on whether sourcing has commenced, and addresses how refunds are calculated in cancellation scenarios.
  • Warranty Policy — governs warranty coverage for products that develop a fault after the initial claim window.
  • Shipping & Delivery Policy — governs delivery timelines, tracking, and customs matters.
  • Privacy Policy — governs the collection, use, and protection of personal information, including payment-related data.

In the event of any conflict between this Payment Policy and another Pixel Hub Electronics policy, we will assess the circumstances and apply the most appropriate terms, communicating clearly with you throughout. Where a more specific policy addresses your situation, that policy will generally take precedence for that specific matter.

11.1 Our Right to Update

We encourage customers to review this Policy before placing an order. Continued use of our platform following any update constitutes your acceptance of the revised Policy.

11.2 Version Numbering

Version numbers are applied across all Pixel Hub Electronics policies to improve transparency regarding policy revisions. Version numbers are updated as follows:

  • Minor updates — corrections, clarifications, and non-material improvements increment the decimal (e.g. 1.0 → 1.1 → 1.2, and so on through 1.9).
  • Major updates — significant structural changes, new protections, or substantive revisions to customer rights increment the whole number (e.g. 1.9 → 2.0, 2.9 → 3.0).
